The Helios Absences and Substitutes Module includes an automated phone calling system which allows Employees to call in to report and absence and Substitutes to check on / accept assignments.


Each district is assigned their own phone number, the same number is used for inbound and outbound calling (inbound is when you call in, outbound is when the system calls you.)


Employee Reporting an Absence

To report an absence as an employee, call the number and then enter your PIN to confirm that it's you. Your pin is defaulted to your 8-digitgit birthday (01011999 would be January 1, 1999) but can be changed in the Employee Portal. Once the PIN is entered, the automated menu system walks you through the process and you can enter an absence for today, tomorrow, or type in a date that you'd like to report the absence for.


Substitute Accepting an Assignment (outbound)

The substitute calling feature sends outbound calls, each day (at specific times depending on your District settings) to all substitutes that match for available assignments. When answering this call as a Substitute, the automated system will ask for your PIN (your 8-digitgit birthday [01011999 would be January 1, 1999] but can be changed in the Employee Portal) to confirm identity before listing off available assignments. The assignments listed in this call are only for the next 2 upcoming school days, however a sub can also enter in any future date to check for available assignments. Using the automated menu, accept any assignment and you will get a confirmation # along with an email confirmation.


Substitute Calling In to Check on Assignments (Inbound)

Substitutes can call into the automated system to check for available assignments, in addition to receiving the automated calls. When calling in, the sub is asked to verify their PIN (your 8-digitgit birthday [01011999 would be January 1, 1999] but can be changed in the Employee Portal). This gives the next two days of available assignments, but subs can also type in any date to check availability.
