Job Portal Admin Users, User Roles, Access Levels



1. The Helios Job Portal has different User Roles which can be assigned to Users based on their access needs.

  • You can also restrict Users to only have access to specific Jobs

Reviewer

2. Reviewer - Ideal for an administrator or site/department.

Able to do the following:

  1. Go to Review Applications page, view applications and do scoring/ranking
  2. Enter notes and screen applications on the application itself

Restricted to:

  1. Jobs they are allowed
  2. Shortlisted and selected applicants unless Show All Applicants for Reviewer and Hiring Manager Roles is checked in Admin User Access
  3. Not able to enter HR notes on applications

Interviewer

3. Interviewer - Ideal for an interviewer or panel member.

Able to do the following:

  1. Go to Review Applications page, view applications and do scoring/ranking

Restricted to:

  1. Jobs they are allowed
  2. Shortlisted and selected applicants
  3. If interview is scheduled, restricted to only applicants in the interview
  4. If hide references is on in an interview setup, then references are not shown in the application
  5. Not able to enter notes and comments on applications

HR

4. HR - Ideal for HR staff.

Able to do the following:

  1. Do everything except go to Admin menu tab and Admin Users for user access
  2. Send applicants to HR portal

Restricted to:

  1. Able to enter HR notes on applications

Admin

5. Admin - Ideal for HR administrators. Able to do everything in the system including Admin menu tab and Admin Users for user access. Able to enter HR notes on applications.

Hiring Manager

6. Hiring Manager - Ideal for a hiring manager or administrator with higher access.

Able to do the following:

  1. Go to Review Applications page, view applications and do scoring/ranking
  2. Enter notes and screen applications on the application itself
  3. Go to Manage page for viewing applications, and schedule interviews
  4. Go to Exams/Interviews page to setup interviews, panel, and interview details
  5. Go to References page to view references

Restricted to:

  1. Jobs they are allowed
  2. Shortlisted and selected applicants unless Show All Applicants for Reviewer and Hiring Manager Roles box is checked in Admin User Access
  3. Not able to enter HR notes on applications
