When getting setup with Helios, it's important to test all of the different modules that you've adopted along with User Access levels. To test, we recommend creating a Test Account for Users and for Employees.


TIP: You can use two different browsers with one logged into the Admin Portal, and the other logged into the Employee Portal, to see the interaction between Admin and Employee.


Admin User Test

To create a Test User, click on "User Access"

Click "Add New"

Add a new User with an easily identifiable Test Name - we recommend something with the word Test in it.

  • Email is not required

  • Linked Employee is not required
  • Password
    • Set this to something that is secure but that you will remember.
  • Login: you will login to the Admin Portal using the Username and Password identified here
    • You can always go back into the Test User and reset the password later.

After adding the Test User, you will be asked to Identify their Role and or Customize their User Access. This is helpful when setting up a template or otherwise testing out what access a User has.


4. Once the Test user is created and tested, you can Copy their access over from or to another User. This is a dropdown menu that will show all current Users.

Employee Test

To create a Test Employee that mimics an existing employees' details, first pull up an employee and then Duplicate Employee. This helps to ensure that specifics like work schedule, employee type, calendar, etc. are accurately tested - this is most important for the Absences and Substitutes module.


You can also select "Add New Employee" and create a new Employee from scratch.

Change the Name of the Duplicated Employee to a Test Name - this is vital to alleviate any confusion if an employee has two profiles.

Save the Details

If you'd like to login to the Employee Portal as the Test Employee

Go to the User Access menu, and in the top right hand corner click on Reset Emp Portal Password to pull up a password reset menu. From here just search for the Test Employee and set their password to something you will remember for testing purposes - you can then login to the Employee Portal as this user by using their Helios ID and the Password set here.
