How to Manage Absences and Substitute Entries as an Admin
1. Click "Absences and Substitutes"
2. Sort by Time Location or view all campuses with district level access
Users with access to a single site (principal, site secretary, time keeper, etc.) only see their time location listed.
3. Today's date is listed by default, but you can change the date here
4. Each date has an overview showing high level details like # unfilled/filled absences, # of subs needed, # total absences, and fill rate,
Dive deeper into a select date by clicking on the view-eye.
5. Once drilled down on a specific date, sort by "status", "employee type", and/or "need substitute". All absences that overlap the selected date are visible and can be edited by clicking on the Edit button on the left of the record.
Note: the Subs button next to Edit is also available from within the Edit menu once you open up the absence - it enables you to assign subs to an absence.
6. Note that the green checkmark shows that the absence is filled
The red x shows that the absence is not filled (a partial fill will show a red x)
7. From within the Edit Absence menu, admin can edit certain fields like From Time and To Time, Hours, Reason, and can also modify the Substitute(s) assigned to the absence by clicking on the Substitute button.
8. Once the Substitute button is clicked, a new menu overlay appears, click "Get Available Subs" to pull a list of all available subs that match with the assignment (matched based on certificated / classified, availability, special skills).
You can add multiple subs to an assignment and split their hours to match up with the required hours needed for the absence.
9. If no subs are available, you can add from the employee pool by clicking "Search Employee" and selecting an employee from the list. (ex: a principal, teacher, etc.)
Note: you can have multiple subs/teachers fill a single absence if each is going to do partial coverage to fulfill the total number of hours in the absence.
10. You can also remove substitutes from an assignment here.
Save all work when modifying an absence.
