California AB 2534 Compliance - Onboarding - Adding Prior Employment Verification to Onboarding Packets and Tracking Submissions

With the Onboarding Module, it's easy to add Reference Checks to the onboarding process. Start by clicking into the Onboarding Designer menu.
2. Find the Onboarding Packet that you'd like to add the Employment Verification (AB 2534 compliant) form to, from the list on the left (or create a brand-new packet.).
Click "Design Packet"
3. After clicking "Design Packet" go to step 6 at the top, External Forms.
Click + Add New to add a new form.
- Name: type "AB2534 - Add all previous educational agencies you've worked at:" (or similar, keeping the character count below 65)
- Form Type: from the dropdown, find the form "AB2534 - Employment Reference Check - Certificated" (you can preview the form by clicking on the orange eye to the right)
- Toggle this step to Enabled
4. This is a preview of form AB2534 - Employment Reference Check - Certificated
5. Save, and then Preview Packet to see what it will look like to employees that are onboarding.
6. In the preview, at Step 6, you will see a new step in the Onboarding Packet called External Forms. On this step there is a place for new hires to list all previous educational agencies that they've worked at - these contacts will receive the AB 2534 reference check form via email once the Onboarding packet is submitted by the new-hire.
7. When Onboarding, the new hire will see this below and can add all of their previous work history at educational agencies.
After completing all steps of the Onboarding packet and submitting to HR for approval, Helios will automatically send an email to each of the contacts listed at this step and the email will contain a link to a form for them to complete on behalf of the new hire.
8. The email that automatically goes to contacts listed in the previous, step - once the Onboarding packet is submitted, is displayed below and includes a link to a form that can be quickly and easily filled out.
9. Clicking into the link from the email, contacts/references will see this form where they are asked for their name, title, and email address and to complete the form on behalf of the new hire.
10. As these forms are completed by the contacts/references, the employees Onboarding packet will link to each completed form for easy tracking. When the View column has the organ eye for preview it means that contact has completed the form. These completed forms are automatically stored in the employee's E-File.
11. Please ensure that the email addresses listed by the new hire are correctly formatted in case of any input error.
If you need to update the email address listed, you can make changes, click "Save and Continue" (which will bring you to the next step), go back to External Forms (step 6) and resend the email by clicking on the Resend Email column button.
