What does the Onboarding process look like for a new hire?
1. Once the new onboarding is kicked off, the new hire gets an email (to their personal email address and or work email address) which contains all of the information they need to start onboarding.
This initial email can be customized in the Onboarding Designer, and can vary from packet to packet, but a key feature is the link to create a password so that all information is secured.
2. After clicking on the link and setting a password, the new hire can login to the Employee Portal
Note: the Single Sign-On option is available if your school/district has setup SSO, but new hires may not be able to use SSO until after full onboarding process is complete.
3. At first login, employees are asked to accept the terms of use and privacy policy - toggle to yes and click Accept and Login.
4. Onboarding Start: This is a welcome message with instructions and any helpful links or information.
5. Step 2: Employee Info - for all demographic and legal requirements.
6. Step 3: Emergency and Picture
7. Step 4: Payroll - Federal and State Taxes
8. Step 5: Forms - different packets may have different forms and each form may require information to be filled in.
9. Step 6: eSign - these are documents like Employee Handbook, to be viewed, read, saved, and or printed - clicking "Accept and Sign" attaches a digital signature and timestamp to the document.
10. Step 7: Upload Documents - required copies of important documents.
11. Step 8: Finish and Submit
12. Confirmation. Once submitted, HR will be notified to review and confirm the onboarding information. Reach out to your HR contact with any questions.
