Onboarding Designer Overview
1. Click "Onboarding Designer"
2. On the left, all existing Onboarding Packets are searchable. You can edit an existing packet, or +Add New.
Name the packet, and select Employee Onboarding as the Workflow Type.
The Welcome Email Template is the initial email that new hires receive from Helios once the Onboarding packet is kicked off - this can be customized however note the special link and codes that dynamically generates information for the email, these should only be changed with care.
3. After clicking on Design Packet, there is a step-by-step process to customize each packet beginning with the initial Welcome Massage at the Step 1, Start.
4. The Employee Info, Emergency, and Payroll Info, steps 2 , 3 and 4, should be left on as Enabled so that employees can enter in all of their specific details. They are on by default, though you can turn them off if desired.
You can click on Preview Packet at any time to see exactly what each step will look like to an employee.
5. At Step 5, Forms, add any forms that you want employees to fill out as part of their Onboarding process. You can drag them to organize in the order that you'd like employees to see them when completing the packet.
These Forms will need to already be created using the Form Designer for them to be accessible in the Form Type dropdown menu
6. eSign Documents, step 6, are for things like Employee Handbooks, Policies, Contracts, Etc. You can upload documents directly from this screen, be sure to pick a Document Category for each so that all data stays well organized.
7. All documents that you need employees to upload should be listed in the Upload Documents section. Simply name the document, assign it a Document Category (and description if desired). Toggle the 'Required to be uploaded by user?' to Yes if this is a required document.
8. The final step, 8, is the Finish screen where you can customize the last message for the new hire - this is the last screen they will see before submitting the Onboarding packet.
