What does the full evaluation process look like for an administrator who is completing an evaluation for an employee?



1. The Evaluations Dashboard houses all evaluations that are open as pending (saved as a draft) and completed.

2. From the main dashboard, evaluations can be sorted by 'Assigned to' making it easy to find evaluations that are assigned to you. Sorting can also be done by Evaluation Type, Job Class, Location, Job Category, or using the Search box.

3. Clicking into the Review (eye) for a given evaluation will open that evaluation up to be worked on, modified, or submitted.

4. At the top of the evaluation there are fields for Date, Evaluator, and Title. Ensure that those are filled in and then complete the evaluation.

5. Evaluations are generally a mix of radio buttons or rankings, and free-form comment fields.

6. At the bottom of the evaluation there is a spot to upload any documents that you'd like to attach to the evaluation. Note you will need to title the document and it's a good idea to categorize it while also adding a descripton.

7. Once the evaluation is completed by the administrator, click on Sign and Submit which will attach an eSignature of the evaluator to the evaluation and also send the evaluation to the employee's Employee Portal for them to review, comment, and eSign.

Note: there is a global setting in Admin > Settings if you do not want the employee to be notified of evaluations completed for them.

Employee eSignatures require the Helios Employee Portal module so that employees can login to their accounts to review and sign the evaluation.

8. Note that there is an Administrator eSign with name and date stamp on the evaluation once the administrator clicks Sign and Submit.

9. If employee emails for evaluations are on, they should receive an email that looks similar to this

10. On the employee side, in the Employee Portal under the Forms and Workflows menu there is an Evaluations tab. Evaluations are broken down by Self-reviews, and Evaluations Completed for You

11. Clicking into the evaluation, the employee can review the full evaluation and at the bottom there is an opportunity to comment add a rebuttal, and then Sign and Save.

Once Sign and Save is clicked, the employee eSignature is attached to the evaluation and it is complete.

12. Back on the Admin side, administrators can see that the evaluation was signed by the employee and can also review any comments added to the evaluation.

13. Clicking into the completed evaluation, at the bottom, there are date/time stamps for eSignatures from the admin and the employee, and employee comments are visible.
