Employee Portal Overview
1. Employees login at the District URL (gethelios.com/District) and can either use Single Sign-On or a Username and Password depending on your district's setup.
2. Once logged in, employees will see the Employee Portal Homepage (this page can be customized in the Admin section).
3. There are 3 main sections in the Employee Portal:
- Employee Data
- Forms and Workflows
- Time and Absences
The information, data, and access to these sections can be restricted/enabled in the Admin settings menu. Some areas may be best as 'read-only' so employees can't make changes directly, others may be best if inaccessible altogether, depending on your district requirements.
4. Employee Data includes all of the information in their employee record like:
- Address & Contact Info
- Job-specific data & pay
- Benefits
- Credentials & Education
- Professional Development
- Medical Records
- Long-term leaves
- Classified Testing
- Induction
5. Forms and Workflows contain:
- Onboarding - all onboarding documentation, especially from Helios Onboarding module
- Requisitions/Workflows - anything that is tied to the employee
- eDocuments - that they've been sent, or have been uploaded to their file
- eSign Documents - all eDocuments that have electronic signatures
- Evaluations - evaluations completed for them, or self-evaluations completed by them.
6. Time and Absences contain:
- Absences - employees can enter absences and view all existing absences
- Leave Balances - real-time records of balances
- Time Sheet - depending on district needs, employees can enter and review their own time sheets
- Substitute Assignments - for subs, see recently accepted and available assignments
- Clock in/Out - depending on district needs, employees can clock in/out from here, districts can also restrict the IP for this screen so employees can only do this while logged into the site's wifi
- Substitute Preferences - teachers can set preferred subs that get first dibs on assignments (customized in Admin settings)
- Settings for Substitutes - substitutes can set their availability and preferences
